The statewide evaluation toolkit is designed to hold all the resources necessary to perform the statewide evaluation efforts. It is divided into three sections: Internal Training, Socializing the Survey, and Collecting the Data.
Internal Training
Internal Training section holds documents, webinars, and tools designed to increase your staff and volunteers’ understanding the of the Statewide Evaluation process.
- Program Evaluation Quick Guide & FAQs explains what events qualify for the statewide evaluation, steps for contributing to the evaluation process, tips & FAQs, and survey topics and questions. This is the first document that should be read when learning about the statewide evaluation.
- The 5W’s PowerPoint Presentation was designed to help educate internal staff and volunteers on the statewide evaluation process. It has slides that cover the who, what, when, where, and why of the statewide evaluation and contains speaker notes. This is a great resource for group trainings.
- The brown bag webinar Program Evaluation, March 2023 is the most current recorded webinar. Tamekia covers the purpose and process of the statewide evaluation as well as some findings from the past six years.
Socializing the Survey
Research has shown that when participants understand the importance and relevance of a survey, they are more likely to participate and give feedback. These tools are used to educate event attendees about the survey.
- The elevator speech serves as a tool to concisely explain the statewide evaluation to attendees at public education events.
- The SWE Survey Socialization Slides are a PowerPoint that provides options to remind attendees to take the survey. You can choose any one of these slides to incorporate at the end of your presentation.
- The Posters/Signage can be printed and placed around the public education event to remind participants to take the survey. They also serve as conversation starters to talk about the statewide evaluation. Much like the SWE Survey Socialization Slides, the Posters have three options to choose from.
Collecting the Data
The most important step of an evaluation process is to collect the data. These tools will help us organize the contacts so we can send the survey to the correct respondents.
- Sign-in form is used to collect participant information at workshops. It is a place for participants to sign in, and if they would like, sign up for the newsletter.
- The Contact Sheet will be the most used tool. This spreadsheet is used to gather information in one document to send to mgevaluation@ucanr.edu.
- A virtual sign-in help document gives step by step instructions on how you can use Google Forms to collect participants data during an online workshop.
Each of these tools legally need this language at the top. The following language is REQUIRED for ALL sign-ins or registrations:
“Your contact information is used to distribute a link to a follow-up survey and relevant program information. The short survey provides us the tools we need to grow and improve the quality of our program. We do not sell or share your contact info with anyone else. If you do not wish to receive the survey, please email us at mgevaluation@ucanr.edu.”
